So you’ve got files to share or statements to store? The Document Vault is your secure, encrypted filing cabinet for everything financial.
Navigating your Vault
The vault is organised into Standard Folders (like Insurance, Tax, and Super). This structure is shared between you and your adviser to ensure everyone knows where to find important files.
Finding a document
- Search: Use the search bar at the top of the vault to find files by name.
- Filters: Use the Filter icon to narrow your view by Financial Year or Legal Entity (e.g., “Show me only 2024 documents for my SMSF”).
Uploading & Organising
Step-by-step upload
- Navigate to the correct folder (e.g., “Tax & Entities” > “Tax Returns”).
- Click Upload.
- Select your files.
- Crucial Step: Assign the correct Financial Year. This makes tax time much easier for you and your accountant.
- Click Confirm.
Moving files
If a file ends up in the wrong place:
- Click the three dots (⋮) next to the file.
- Select Move.
- Choose the new destination.
Security & Sharing
- Encryption: Every file is encrypted at rest using AES-256 (bank-grade security).
- Adviser Access: Your adviser can see the documents you upload. This allows them to verify your data and provide accurate advice without you having to email sensitive files.
- Staff-Only Folders: You may see folders like “Advice preparation.” These are for your adviser’s internal work, but they may occasionally share files from these folders for you to review.
Tips for a tidy vault
- Clear Names: Use a standard naming convention like
[Date] [Provider] [Description](e.g.,2025-06-30 AustralianSuper Statement.pdf). - PDF is King: Whenever possible, upload documents as PDFs. They are easier to read, search, and archive.
- ID Documents: Keep a secure copy of your Passport or Driver’s License in the “Other” folder for easy access when needed.
